What we collect, and how we protect it.

Last updated:

This policy covers personal information handled by this website and the learning platform, including accounts, learning activity, payments and documents.

Aligned with the Australian Privacy Principles. Not legal advice; subject to update.

1. Policy scope

This policy explains how EdDots handles your personal information. It covers this website and the learning platform, where accounts, learning activity, payments and documents are managed.

We handle personal information in line with the Australian Privacy Principles under the Privacy Act 1988 (Cth). This policy is not legal advice, and we may update it as the platform grows.

2. What the website collects

The website includes forms for account registration, enquiries and free-place applications. Each form identifies the information it asks for.

Depending on the form, this can include contact and account details, learner and guardian information, messages and declarations.

Information submitted through these forms is used to provide the requested service, review an application, manage an account or respond to an enquiry. Payment details are handled by Stripe as described in Part 05.

The hosting provider keeps technical access logs, such as IP addresses and requested pages, for security and reliability. These records are kept only as long as needed for those purposes. Scholarship applications are described in Part 10.

3. What the learning platform collects

When you use EdDots to learn, teach or pay, the learning platform collects what it needs to run the service:

  • Account details — name, contact details, role and login.
  • Learning information — study level, subject or concept choices, goals, available study time, learning plans, practice responses and progress records. Assessment records are created when an assessment is available and attempted.
  • Payment records — handled by Stripe (see Part 05); we keep the record of a payment, not your full card number.

We collect this information to provide learning resources, record learning activity, manage accounts and payments, meet safety and legal obligations, and respond to support requests.

Online lessons are not recorded.

4. Children’s data

A student under 18 uses EdDots through a parent or guardian, who sets up and manages the account.

We treat a child’s information with extra care. A parent or guardian can ask to see, correct or remove their child’s information.

5. Payments through Stripe

Payments run through Stripe, our payment processor. When making a payment, your card details are transmitted directly to Stripe over an encrypted connection — EdDots never sees or stores your full card number. Stripe manages the card-payment information under its security arrangements.

Stripe processes your payment information under its own privacy terms. We receive the record that a payment succeeded, so we can manage your account and access.

6. How we store and protect it

We take steps to protect personal information and limit access to people who need it to provide the service.

We use encryption in transit, keep information only as long as we need it, and dispose of it securely after that. No system is perfectly secure, but we take reasonable steps to protect your information and will tell affected people if a serious breach occurs, as the law requires.

7. When we share information

We do not sell your information. We share it only where it is needed to run the service:

  • with Stripe, to take payment;
  • with service providers who host and support the platform, under confidentiality;
  • and where the law requires it, or to keep someone safe.

8. Cookies and analytics

This website uses session cookies and browser session storage to support account access and payment-status checks. The learning platform uses session cookies to keep users signed in. This website does not currently run advertising trackers or analytics scripts. Payment services may use their own cookies under their privacy terms.

If you previously chose reading settings on this site, those preferences remain in this browser's local storage and can be cleared through your browser. They are not sent to us. Session storage keeps your selected audience while you browse and records that a page's opening animation has played.

The free Notebook example also saves workspace settings, the selected lesson and notes in your browser. Clearing site data can remove them.

If non-essential cookies or analytics are introduced, this policy will be updated before they are used.

9. Your requests and contact

You can ask what we hold about you, ask us to correct it, or ask us to delete it where we are able to. Parents and guardians can make these requests for their child. Use the contact form to request assistance.

If you are not happy with how we have handled a privacy request, you can contact the Office of the Australian Information Commissioner (oaic.gov.au). This policy is issued for EdDots. See also our Terms of Service.

10. Scholarship applications

Scholarship applications include information needed to assess eligibility. The form collects:

  • your name and email address,
  • the student’s first name and year level,
  • the eligibility category you select, and
  • any additional information you provide about your circumstances, and your declaration.

We use these details only to assess eligibility for the scholarship program and to contact you about your application. Access is restricted to the team responsible for the scholarship program. These details are not sold or shared for marketing. We keep them while your application is active, plus our records of awarded places. You can ask us to show, correct or remove them at any time via the contact form.

Before an awarded place starts, we ask to sight evidence for your category, such as a concession card. We record the basis for confirming eligibility and the reviewer responsible. We do not keep copies of documents, and we never store card numbers.
